SSR Window Cleaning Privacy Policy

This privacy policy explains what personal information SSR Window Cleaning collects, why we collect it, who we share it with and the rights you have over it. We look after your information in line with UK data protection law (the UK GDPR and the Data Protection Act 2018).

• Contact and quote details – your name, address, email address, phone number and details about your property when you ask for a quote, book a clean or contact us.

• Service details – your cleaning schedule, visit history, prices, access notes (for example gate or parking information) and any messages between us.

• Payment details – card and Direct Debit details are entered directly with our payment provider, Stripe. We never see or store your full card or bank details; we only see limited information such as payment status and the last few digits.

• Website information – how you use our website, collected through cookies. See our Cookies Policy for details.

• Job applications – the details you send us if you apply to work with us, such as your contact details, experience and whether you hold a driving licence.

• Referrals – the name and contact details of anyone you refer to us, so we can give you your discount.

 

3.  How We Use Your Information

We use your information to:

• Give you a quote and provide the cleaning services you book

• Schedule your cleans and send reminders before each visit

• Take payments, send receipts and manage your account and customer portal

• Answer your questions and deal with any complaints

• Keep accounting and tax records

• Improve our website and services, and show relevant adverts

• Consider job applications

 

4.  Our Legal Reasons for Using Your Information

• Contract – to give you a quote and carry out the services you ask for.

• Legal obligation – to keep financial records required by law.

• Legitimate interests – to run and improve our business, keep our records accurate and recover money owed to us.

• Consent – for any marketing that needs your permission. You can withdraw consent at any time.

 

5.  Who We Share It With

We never sell your personal information. We only share it with trusted providers who help us run our business, and only as much as they need:

• CleanRound – our customer management software, which runs your account, scheduling, reminders and customer portal

• Stripe – our payment provider for card payments and Direct Debits

• Wix – our website host, including our website forms

• Google and Meta (Facebook) – for website analytics and advertising (see our Cookies Policy)

• Our accountants and professional advisers

• Debt collection agencies or solicitors, if an account remains unpaid (see our Terms & Conditions)

• The police, courts or other authorities, where the law requires it

Some of these providers may store information outside the UK. Where they do, they use legal safeguards approved under UK law to protect it.

 

6.  How Long We Keep It

• Customers – while you are a customer and for up to 6 years afterwards, so we can meet our tax and legal obligations.

• Quotes that don’t go ahead – up to 2 years.

• Job applications – up to 12 months, unless you join our team.

After this, we securely delete or anonymise your information.

 

7.  Keeping Your Information Safe

We use secure, reputable systems to store your information and limit access to the people who need it to do their job. Card and bank details are handled by Stripe, which is certified to PCI DSS Level 1, the highest security standard in the payments industry.

 

8.  Your Rights

You have the right to:

• Ask for a copy of the information we hold about you

• Ask us to correct anything that is wrong or incomplete

• Ask us to delete your information, where we don’t need to keep it

• Ask us to restrict or stop using your information, including for marketing

• Ask us to transfer your information to another organisation

• Withdraw your consent at any time, where we rely on it

9.  Complaints

If you are unhappy with how we have used your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time. The latest version will always be on this page.
